What onboarding actually involves

A club is not a software rollout. It is a Saturday morning that has to work.

Step one

Demo and scoping

A working walkthrough with your manager and committee, then scoping: tee-sheet rules, categories, outlets and pricing.

Configuration

We load your member roll, interval rules, categories, discounts, outlets and payment setup, then apply your branding.

Soft launch

A small group of members runs it live for a few weeks while your team gets comfortable in the portal.

Money, data and security

Put your members’ money and your membership roll on our platform and you are entitled to hard answers.

When does the money reach the club?
Everything members spend across the club — green and guest fees, carts, pro shop, food and drink — is netted off and settled to the club’s account within 24 hours, with a daily statement your finance committee can reconcile against.
Where do card details go?
Top-ups run through a South African gateway on hosted checkout, so full card numbers never reach MemberOne’s systems or your club’s. That keeps the PCI burden where it belongs.
Whose data is it?
Your members’ personal information is the club’s. MemberOne is an operator processing it on your instruction, under a written agreement, in line with POPIA. We do not sell it and we do not market to your members.
How do we get our data out?
Members, bookings, transactions and the ledger export in standard formats on request, and on exit. A platform you cannot leave is a platform you should not join.
Does it work beyond golf?
The same platform runs for residential estates and other member-based communities. If your club sits inside an estate, or runs padel, tennis, squash or a restaurant alongside the course, it is one system rather than two.
How is it built?
Alongside the clubs that run on it, rather than in a vacuum — and we take new clubs on one at a time, so each gets the attention a first season needs.

Straight answers

Does this replace our tee-sheet and scorecard systems, or sit alongside them?
It replaces them. Two tee sheets for the same Saturday means two sources of truth, and scorecards only help the club when they land with the competition. Migrating your bookings and member records is part of onboarding.
What does it cost?
Pricing depends on the size of your membership and which parts of the platform you switch on, so we quote per club after a scoping call rather than publish a table that would be wrong for most. Ask, and you get it in writing.
Do our members have to use the wallet?
No. Bookings work without it, and your existing payment methods continue at the outlets. The wallet is where the value sits — fewer card fees, no uncollected guest fees, automatic member pricing — but it is adopted, not forced.
What about members who don’t use smartphones?
Your office keeps full booking ability in the portal, so a member can phone in exactly as they do now and appear on the same sheet. No member is locked out of the club because of a phone.
How long does onboarding take?
Weeks rather than months from signed agreement to your first members playing, depending mostly on the state of your existing member data. The scoping call gives you a real date, not a brochure number.
Who owns the member relationship?
You do. Members see your brand, your notices and your pricing. MemberOne is infrastructure — deliberately invisible to the member.
Can we see it working before committing?
Yes. The demo is the working product with sample club data, not slides, and we are happy to present to a committee rather than only to management.
